The Executive Assistant provides support to the ExCom member in all her responsibilities. He/she ensures effective communication and execution of the decisions, liaising with key stakeholders across the organization and working hand-in-hand with Division’s teams.
Job Purpose
As a member of the Group Operations Procurement Leadership team, the Executive Assistant has a facilitating and coordinating role, and has several responsibilities:
§Support and accompany the CPO in her daily task execution
–Preparation of her meetings
–Monitor, analyze and synthesize technical topics
–Carry-out administrative tasks: Budget setting and follow-up, in collaboration with teams and invoice validation within the Executive Assistant’s limit
§Facilitation and coordination within the Procurement division
–Act as the point of contact between Procurement and other divisions
–Support the proper execution of main governance bodies directly, in close collaboration with leadership team
–Provide any necessary support to the teams for the proper execution of their responsibilities
–Prepare and manage team meetings
–Contribute to the definition of the priorities of the Procurement division
–Ensure smooth HR processes for entire division, in tight collaboration with division’s HR Business Partner
§Ensure effective communication internally and externally for entire division
–Prepare presentations and speeches for the CPO, delivering and cascading strategic messages
–Review and control communication before publication
–Contribute to the Executive Assistants community (ensure strong coordination, share and gather relevant information, perform punctual missions when necessary…)
§Deliver on strategic projects upon request, carrying-out specific missions for the account of the CPO, for the entire division and depending on needs

Education
Bachelor's or master’s degree in business administration, finance or economics
Experience & technical skills
5/6 + years working experience, including at least 4 years in an audit firm.
