STRUCTURE DRIVEN: You thrive in systems. You see operational mess and immediately want to build a playbook, automate what can be automated, and streamline everything else. You’re process obsessed, detail oriented, and driven by clarity. SOPs, task hierarchies, documentation, dashboards, it’s your language.

PROACTIVE: You don’t wait for things to break. You anticipate problems and solve them before they even hit the radar. You take ownership, ask smart questions, and know how to move projects forward, even when there are moving parts. You don’t just build things, you make sure they run.

A TEAM OF ONE (WHO BUILDS MANY): You start by getting things in order yourself and then you help build a small internal "backoffice team" to maintain those systems. Whether it’s compliance, reporting, or internal workflows, your focus is on creating long term structure with short term impact.



The Role

WHAT SUCCESS LOOKS LIKE


In Your Day-to-Day:

  • Building, documenting, and organizing a complete SOP library across key departments and workflows, starting with admin and compliance processes.
  • Collaborating with team members to collect raw processes and turn them into scalable, repeatable documentation.
  • Owning the setup and structure of internal reporting tools, including but not limited to reporting dashboards, compliance audits, cohort analyses, and spend summaries.
  • Assisting in the transition from Asana to Basecamp, helping define project templates, task management standards, and accountability frameworks.
  • Supporting the day to day operational needs of the company across admin, marketing, and compliance functions.


In Your First Three to Six Months:

  • You’ve created a centralized SOP repository covering all critical workflows, with documentation that’s easy to follow, update, and maintain.
  • A structured internal reporting system is live, consistently updated, and used by leadership to track key metrics like LTV, expense allocation, and campaign performance.
  • Basecamp is fully implemented as the company’s primary project management platform, with clear standards for use and accountability built in.

You've helped form and lead a lean, efficient internal back office team focused on maintaining operations, reporting, documentation, and process compliance ensuring nothing falls through the cracks.


Ideal Profile

WHAT YOU’LL BRING TO THE TABLE


Must Haves:

  • Proven experience in operations, compliance, admin, or internal systems management roles.
  • Strong documentation skills, building SOPs, creating templates, and organizing internal knowledge bases.
  • Familiarity with project management tools (e.g. Asana, Basecamp, Notion, Trello).
  • High attention to detail and obsessive organization skills.
  • Ability to translate messy, informal processes into clear, replicable systems.
  • Excellent written and verbal communication skills, especially when simplifying complexity.
  • A get-it-done mindset with a talent for working independently while collaborating with cross functional teams.

Preferred Qualifications:

  • 1+ year experience implementing new systems or tools within a company.
  • Understanding of marketing metrics and reporting (LTV, CAC, ROAS, etc.) or the willingness to learn fast.
  • Comfort working with spreadsheets and dashboards (Google Sheets, Looker Studio, or similar).


Background in finance, compliance, trading or fintech industries is a plus.
